Onboarding & Verification
How to complete account onboarding and what happens during document verification.
Three Onboarding Paths
MXBS has three distinct onboarding flows depending on your account type.
Path 1: Organization — Trip Owner
For schools, sports clubs, tour companies, corporations, and nonprofits.
Required information:
- Organization type (School, Sports Club, Tour Company, Corporate/Nonprofit, Other)
- Organization name, contact email, phone number
- Business website (optional)
- Address (searchable via Google Maps autocomplete)
Required documents:
- Business registration certificate, letterhead, or other proof of organization
Verification: MXBS reviews your documents. If approved, status moves to VERIFIED. If documents are missing or unclear, you'll receive a request to re-upload.
Path 2: Individual — Trip Owner
For individuals booking transportation without an organization.
Required information:
- Government ID type (Passport, Driver's License, National ID)
- Government ID number
- Full name and address
Verification: Identity verified against the submitted ID. Typically faster than organization verification.
Path 3: Organization — Bus Operator
For licensed motorcoach and charter companies.
Required information:
- Business name (legal registered name)
- Legal entity type (Sole Proprietorship, LLC, Corporation)
- Operating country (USA or Canada)
- Address and contact details
- Transport authority registration:
- US operators: USDOT number, MC number
- Canada operators: CVOR number, Provincial Operator ID
- Insurance expiry date
- Year established, fleet size
Required documents:
- Business registration certificate
- Transport authority operating license
- Insurance certificate (must not be expired)
- Driver abstract
Insurance expiry
Your insurance certificate must be valid at the time of submission. An expired certificate will prevent verification.
Verification States

| DOCUMENTS_REQUESTED | Documents missing or unclear | Check email for specifics, re-upload |

| SUSPENDED | Account suspended by MXBS | Contact support |
Suspended accounts
Suspended accounts cannot log in or access any platform features. Contact MXBS support to resolve a suspension.
Re-uploading Documents
If your status is DOCUMENTS_REQUESTED, you'll receive an email explaining what's needed. Log in to your account — the onboarding screen will reappear with a prompt to upload the requested documents.
After re-uploading, your status returns to PENDING while the team re-reviews.
Verification Timeline
Typical review times:
- Individual Trip Owner: 1 business day
- Organization Trip Owner: 1–2 business days
- Bus Operator: 1–3 business days (more documents to verify)
Verification happens Monday–Friday during business hours.
