Signing a Contract

How to review and sign a generated contract as a Trip Owner, and what happens after you sign.

When You Need to Sign

After you confirm your bid selections and contracts are auto-generated, you will receive an in-app notification and an email prompting you to sign. As the Trip Owner, you always sign first. The operator is not notified until after your signature is recorded.

Review the Cancellation Policy Before Signing

The operator's cancellation policy is embedded in the contract and becomes legally binding the moment you sign. Read it carefully — it governs your refund entitlement and any fees owed if the trip is cancelled. This policy varies by operator and is set in their profile.

Signing Steps

Navigate to Contracts

Click Contracts in the left sidebar. You will see all contracts associated with your trips. Contracts awaiting your signature are highlighted and show a "Sign Required" indicator.

Find the Contract in PENDING_SIGNATURE

Locate the contract with status PENDING_SIGNATURE. If you awarded bids to multiple operators, each operator has a separate contract — you must sign each one individually.

Open the Contract Detail View

Click the contract row to open the detail view. This page displays all contract terms: vehicle count, price per coach, total contract value, tax breakdown, operator cancellation policy, payment terms, and any custom operator T&C.

Review All Terms

Scroll through the full contract. The Sign Now button is disabled until you have scrolled to the bottom of the terms — confirming you have had the opportunity to review everything.

Click Sign Now

Click Sign Now. Your signature is recorded along with a timestamp. The contract now shows your name and signature date in the Signatures panel.

Contract Awaits Operator Signature

The contract status remains PENDING_SIGNATURE — it does not become ACTIVE until the operator also signs. You will see a status note reading "Awaiting operator signature" with your signed timestamp displayed.

Operator Signs — Contract Becomes ACTIVE

The operator receives a notification to review and sign. Once they sign, the contract status changes to ACTIVE and your trip status changes to BOOKED. You will receive a notification confirming both signatures are complete.

While Waiting for the Operator

After you sign, the contract detail view updates to show:

  • Your signature with timestamp (e.g., "Signed by Arvindh Sharma on May 18, 2026 at 10:42 AM")
  • "Awaiting operator signature" status note
  • The operator's signature field, empty, waiting to be filled

The operator has no deadline to sign by default. If the operator is slow to respond, you can message them through the MXBS messaging system directly from the trip or contract detail page.

If an Operator Does Not Sign

Contracts do not auto-expire. If an operator is unresponsive after a reasonable period:

  1. Send a follow-up message through the platform
  2. If they remain unresponsive, you can cancel the contract from the contract detail view (see Editing & Cancelling Contracts)
  3. After cancellation, you may need to reopen your bid selection or use Instant Quotes to find a replacement operator

Cancellation due to operator non-response should be documented with a clear reason in the cancellation note for your records.
