Create a Trip

Step-by-step guide to posting a motorcoach trip and opening it for bids.

Overview

Posting a trip takes 5–10 minutes. You'll fill in basic details, define your route, set vehicle requirements, choose a bidding window, and configure access controls.

Trip basics

Enter the foundational trip information:

  • Trip Name — a descriptive name visible to operators (e.g., "MHS Basketball State Tournament")
  • Trip Description — optional context for operators
  • Trip Type — Round Trip, One-Way, or Shuttle Run (see Trip Types)
  • Day Type — Single Day or Multi-Day
  • Departure Date — when the trip begins
  • Return Date — required for Round Trip and Multi-Day trips
  • Country — USA, Canada, or cross-border Canada–USA
  • Passenger Count — total number of passengers
  • Toll Access — whether the route uses toll roads
  • Notes — any special instructions for operators (driver requirements, loading areas, etc.)

Define your route

Add stops using the address search bar. Every trip requires at minimum:

  • A Pickup location (where passengers board)
  • A Dropoff location (final destination)

You can also add intermediate Stops and Layovers. For each stop, you may optionally add a schedule note (arrival time, departure time, instructions).

Vehicle requirements

Add one or more vehicle requirements. Each requirement specifies:

  • Vehicle Type — Full Coach, Mid-Size Coach, Mini Bus, Sprinter Van, School Bus, or Limo variant
  • Count — how many of that vehicle type you need

Operators must meet or exceed your count in their bid. See Vehicle Requirements.

Amenities & driver provisions

Select which amenities you require on the vehicles:

  • WiFi, Air Conditioning, Restroom, Power Outlets, Entertainment System, ADA Accessible, Luggage Space, Reclining Seats

And specify what you're providing for the driver:

  • Driver Food, Driver Accommodation, Driver Meals, Driver Parking

Bidding window

Set when operators can bid:

  • Opens at — datetime when the window activates
  • Closes at — deadline for bid submissions (required)

Access controls

Configure how bids appear during the bidding window:

  • Hide Bid Amounts Until Close — operators' pricing is hidden until the window closes
  • Hide Operator Identity Until Selection — operator names shown as "Operator 1", "Operator 2", etc. until you shortlist
  • First Trip Gate — blocks operators with no prior won contracts from bidding

Publish or save as draft

Click Publish to make the trip visible to operators immediately (or when the bidding window opens). Click Save as Draft to store the trip privately and publish later.

Published trips cannot be freely edited — changes require reposting or editing with a reason.

Save as draft first

If you're unsure about any field, save as a draft. You can edit freely before publishing. Once published and bids are received, edits are restricted.

Shuttle Runs

Shuttle runs have additional fields: recurrence days (which days of the week the shuttle operates), shift types (Morning, Evening, Night, General), and whether female employees will be present. See Trip Types for shuttle-specific guidance.
