Editing & Cancelling Contracts
How to request changes to an active contract and how to cancel one before trip departure.
Editing an Active Contract
After a contract reaches ACTIVE status, both parties have signed and the terms are legally binding. Changes are still possible, but they require a formal edit process where both parties re-review and re-sign.
What Can Be Edited
The following fields can be modified through a contract edit request:
- Vehicle count — increase or decrease the number of vehicles awarded to this operator
- Price per coach — adjust the agreed rate (requires mutual consent)
Trip dates, operator identity, and vehicle type cannot be changed through a contract edit. If your trip fundamentals change significantly, cancellation and a new bid cycle is the appropriate path.
How to Request a Contract Edit
Open the Contract
Navigate to Contracts in the sidebar and click the ACTIVE contract you want to modify.
Click Request Edit
Click the Request Edit button in the contract action toolbar. This opens the edit request form.
Enter the Changes and Reason
Specify the updated vehicle count and/or price per coach. You must provide a reason for the edit — this is recorded in the contract's version history for both parties' reference.
Submit for Operator Review
Submit the edit request. The operator is notified and can review the proposed changes. They must re-sign the updated contract to accept the changes.
Both Parties Re-Sign
You sign the new version first (same flow as the original signing — see Signing a Contract). Then the operator signs. Once both parties sign, the new version becomes ACTIVE.
Version History After an Edit
When an edit is confirmed and both parties sign, the original contract is marked as SUPERSEDED and a new version is created. Version numbers increment: v1 → v2 → v3, and so on. You can view all historical versions from the Version History tab on the contract detail page.
The superseded versions are read-only and preserved permanently for audit purposes.
Cancelling a Contract
Either party — Trip Owner or Bus Operator — can cancel an ACTIVE contract at any time before the trip's departure date.
How to Cancel
- Open the contract from the Contracts sidebar view
- Click Cancel Contract in the action toolbar
- Select a cancellation reason from the dropdown (or enter a custom reason)
- Confirm the cancellation
The contract status immediately changes to CANCELLED. Both parties are notified.
Financial Consequences
The operator's cancellation policy — visible in the contract under Operator Terms — governs any financial consequences of cancellation. This policy may specify:
- A full refund if cancelled before a certain date
- A partial refund or cancellation fee if cancelled within a specific window
- No refund for late cancellations
MXBS does not enforce these terms automatically. You and the operator are responsible for resolving any financial settlement per the policy terms you agreed to at signing.
Cancellations Are Permanent
A cancelled contract cannot be reinstated or reversed. The CANCELLED status is immutable. If you need to re-engage the same operator for the same trip after a cancellation, you must start a new bidding or Instant Quote cycle. There is no shortcut to restore a cancelled contract.
