Updating & Withdrawing Bids
When and how to revise or withdraw a bid after submission.
After submitting a bid you may need to correct a pricing error, update your availability, or pull out of a trip entirely. This page explains what is allowed at each stage and how to take action.
Revising a Bid
When you can revise
You can edit a submitted bid any time these two conditions are both true:
- The trip's bidding window has not yet closed.
- Your bid status is SUBMITTED or PENDING_REVIEW — not SHORTLISTED or beyond.
Once your bid reaches SHORTLISTED status, the Edit Bid button is no longer available. The trip owner has already considered your bid in their shortlist, so changes at that point would be inconsistent with their evaluation.
How to revise
Navigate to My Bids
Click My Bids in the sidebar. Locate the bid you want to edit using the search bar or status filter.
Open the bid detail
Click the bid row to open its detail view. You will see the full bid form populated with your current values alongside a status banner at the top.
Click Edit Bid
Click the Edit Bid button in the top-right corner. This reopens the bid form in edit mode. All fields are editable — line items, cost breakdown, add-ons, tax, amenities, and notes.
Make changes and submit
Update the relevant fields. The summary panel reflects your changes in real time. When satisfied, click Submit Revision. The previous version is saved automatically as a revision history entry.
Revision history
Every revision is logged with the previous amount, the new amount, and a timestamp. Trip owners can view your full revision history when they open your bid. This transparency is intentional — it helps trip owners assess how confident you are in your pricing.
Practical implications:
- A single revision to fix a clear error looks professional.
- Multiple revisions in quick succession can signal uncertainty and may reduce a trip owner's confidence in your quote.
- Revisions that increase your price after initial submission may be viewed skeptically. Revisions that decrease your price are generally well-received.
Correct errors quickly
If you spot a pricing error immediately after submitting, revise right away. The revision history will show a short gap between the original submission and the correction, which is far better than letting an incorrect bid stand.
What you can change
Every field in the bid form is editable during a revision:
- Vehicle counts and per-vehicle prices
- Deadhead distance and rate
- Extra hours and rate
- Fuel surcharge method and value
- Custom add-on items (add, remove, or modify)
- Tax type and percentage
- Amenity selections
- Cancellation policy, payment terms, and notes
Withdrawing a Bid
When you can withdraw
You can withdraw a bid any time your bid status is not WON or ACCEPTED. This includes SUBMITTED, PENDING_REVIEW, and even SHORTLISTED, though withdrawing from SHORTLISTED carries a visibility cost (see below).
How to withdraw
Open the bid
Go to My Bids, click the bid row to open the detail view.
Click Withdraw Bid
Click Withdraw Bid in the action bar. A confirmation dialog appears summarizing the bid and the trip name.
Confirm withdrawal
Click Confirm Withdraw. The bid status immediately changes to WITHDRAWN. This action cannot be undone.
Effects of withdrawing
- The trip owner sees your bid marked as WITHDRAWN in their bid list.
- You cannot submit a new bid on the same trip after withdrawing. Your slot is released but you cannot reclaim it.
- Your bid credit is not refunded upon withdrawal.
Withdrawing after shortlisting
Withdrawing a SHORTLISTED bid is visible to the trip owner and removes you from their candidate pool at a critical stage. Only withdraw if you genuinely cannot fulfill the trip — for example, if a fleet conflict has emerged or a vehicle has become unavailable. Habitual withdrawals after shortlisting may affect how trip owners perceive your reliability.
